The Intake Coordinator is central to making that happen.

The Role

We are looking for a friendly, organized, and confident Intake Coordinator to serve as the welcoming first voice of our practice. You will guide prospective clients and families through the process of getting started with us, from their very first phone call through scheduling their first appointment.

This is not a passive administrative role. It requires someone who genuinely enjoys connecting with people, can speak knowledgeably and warmly about our services, and is comfortable helping families understand the value of investing in psychological care, including having clear, empathetic conversations about fees and payment.

Hours: Monday through Friday, 10:00 a.m. to 6:00 p.m.

What You'll Do

  • Serve as the first point of contact for prospective clients via phone, email, and website inquiries
  • Conduct intake screenings and gather relevant background information
  • Match prospective clients with the right clinician based on their needs and availability
  • Explain our services, specialties, scheduling options, and fee structure clearly and confidently
  • Address common questions and concerns about cost, insurance, and fit with warmth and transparency
  • Follow up with interested families to support their decision-making process
  • Schedule new assessment and therapy appointments
  • Maintain accurate records in our EHR system and track inquiry and referral data
  • Coordinate intake paperwork and onboarding communications
  • Support broader administrative needs as they arise

Who You Are

You are the kind of person who makes others feel at ease immediately. You are organized without being rigid, confident without being pushy, and warm without losing professionalism. You understand that families reaching out to a psychology practice are often navigating something difficult, and you take that seriously.

You are also comfortable with the business side of a private practice. You can talk about fees plainly and without apology, help families understand what they are getting, and follow up with prospective clients in a way that feels supportive rather than pressured.

Required qualifications:

  • 3 or more years of experience in a client-facing or customer service role
  • Excellent phone presence and interpersonal communication skills
  • Professional, warm, and empathetic demeanor
  • Strong organizational skills and a high attention to detail
  • Comfort discussing fees and private-pay payment policies
  • Bachelor's degree

Preferred qualifications:

  • Experience in a mental health, medical, or healthcare setting
  • Experience in a private practice environment
  • Background in consultative sales or client conversion
  • Familiarity with HIPAA guidelines
